How NeuralSync Handles Website and Inquiry Information.

This policy explains the information handled through neuralsync.ca and our inquiry process. Client project data is governed by the separate agreements and scope for that engagement.

1. Who this policy covers

NeuralSync is a Canadian operating brand. This Privacy Policy applies to personal information handled through this website, including the OS Audit application, general inquiries, and ordinary website delivery. It does not describe the handling of information within a client implementation. Those responsibilities, systems, and data uses must be addressed in the relevant proposal, statement of work, data terms, or other client agreement.

2. Information we collect

When you submit an OS Audit application or contact us, we may collect information you provide, such as:

  • your name, work email, role, company name, company size, and company website;
  • the systems your company uses, your operational challenge, desired outcome, and preferred timeframe;
  • the contents of your message and subsequent correspondence; and
  • the page from which a website form was submitted.

Our hosting and network providers may also process technical information needed to deliver and secure the website, such as IP address, browser and device information, request timestamps, and diagnostic or security logs. Please do not submit confidential client records, credentials, regulated data, or other sensitive information through the website forms.

3. How we use information

We use website and inquiry information to:

  • review, assess, and respond to your inquiry or OS Audit application;
  • schedule and prepare for a fit call when appropriate;
  • protect the website, prevent abuse, troubleshoot errors, and maintain reliability;
  • keep records of business conversations and manage prospective engagements; and
  • meet applicable legal, accounting, security, or dispute-resolution obligations.

We do not use the OS Audit form to automatically subscribe you to a newsletter or automated marketing sequence. If we introduce optional marketing communications later, we will request any consent required by applicable law and provide a way to unsubscribe.

4. Analytics, cookies, and similar technologies

At the effective date above, NeuralSync does not intentionally deploy website analytics, advertising pixels, session replay, or marketing cookies on neuralsync.ca. Essential network, hosting, and browser technologies may still be used to serve and secure the site. If our practices change, we will update this policy and introduce consent or preference controls where required.

5. Service providers and disclosures

We use service providers to operate the website and route inquiries. These may include Vercel for website hosting and infrastructure, and an n8n-based workflow used to route submitted lead information for follow-up. Providers process information for the services they supply to us and are subject to their own contractual and legal responsibilities.

We may also disclose information when reasonably necessary to comply with law, protect rights or security, investigate misuse, obtain professional advice, or support a business reorganization. We do not sell personal information submitted through the website.

6. Processing outside your province or country

Our providers or their systems may process information outside your province or outside Canada, including in the United States. When information is processed in another jurisdiction, it may be available to courts, governments, or law-enforcement authorities under the laws of that jurisdiction.

7. Retention and safeguards

We retain inquiry information only as long as reasonably needed for the purposes described above, including follow-up, business records, security, legal obligations, and dispute handling. Retention can vary based on whether an inquiry becomes a client engagement. We use administrative and technical measures intended to protect information, but no internet transmission or storage system can be guaranteed completely secure.

8. Access, correction, deletion, and consent choices

You may ask about personal information we hold about you, request a correction, request deletion where applicable, or withdraw consent for future uses that rely on consent. Some information may need to be retained where law, security, recordkeeping, or an existing agreement requires it. Email requests to info@neuralsync.ca. We may need to verify your identity before completing a request.

9. Children

This website and the OS Audit are intended for business representatives, not children. We do not knowingly seek personal information from children through the website.

10. Changes and contact
